Healthcare: intelligent document management system
Result: 48% time saved on the administrative handling of referrals, billing and test requests.
Challenge
A leading healthcare company was handling critical administrative processes manually and in a fragmented way: referrals, billing and test requests. An organisation's critical information sits scattered across SAP, SharePoint, email, PDFs and databases, with no single point of access. According to IDC, companies lose up to 21.3% of their productivity to problems accessing documents (the equivalent of more than 19,000 dollars per employee per year), and 80% of the workforce report that constant interruptions leave them without enough time to do their job. On top of that comes tribal knowledge: when a key person moves on or retires, their critical know-how leaves with them, and decisions end up being made on partial information because consolidating data across systems is slow.
Solution
We developed an AI-based document management solution, connected to an administrative knowledge base, that automates the classification, extraction and processing of documentation. QALEON has implemented an AI-powered corporate assistant that sits as a layer of intelligence on top of the existing systems (SAP, SharePoint, Workiva, email and databases) without replacing any of them. Using natural language, with role-based access control and permissions applied in real time, every user gets precise, contextualised answers drawn from all corporate information, with full traceability for audit and regulatory compliance.

Expected results
More than 20% of each employee's time recovered
Onboarding up to 40% faster
Less dependence on key individuals when people move on or are absent
Decisions based on the full context rather than partial information
Full traceability and automatic alerts when new regulation appears (ESG and regulatory)
